Gravity Forms includes a built-in exporter that lets you download form entries as a CSV file. This is useful when you need to review registrations, send data to a spreadsheet, make a backup of submissions, or share form data with someone who does not need dashboard access.

Open the Entry Exporter#

In the dashboard, go to Forms > Import/Export.

You should land on the Export Entries tab automatically. If not, click Export Entries.

Select the Form#

Use the Select a Form dropdown to choose the form you want to export.

After you select a form, Gravity Forms will show export options for that form.

Choose the Fields to Include#

In the Select Fields section, check the fields you want to include in the CSV file.

Only selected fields will be included in the export, so make sure you include any contact details, registration details, payment fields, or administrative fields you need.

If you are sending the CSV to another person, only export the fields they actually need.

Filter the Entries#

If you only need some entries, use the available filters before downloading the export.

Conditional Logic#

Enable conditional logic if you want to export entries that match specific criteria. For example, you can export entries with a certain payment status, entries marked as starred, or entries where a field has a specific value.

Date Range#

Use the start and end date fields to export entries submitted during a specific date range.

Leave the date range blank if you want to export all entries for the selected form.

Download the CSV File#

Click Download Export File.

Gravity Forms will generate and download a .csv file. Large forms or forms with many entries may take a little longer to export.

Once the file downloads, you can open it in Excel, Numbers, Google Sheets, or another spreadsheet app.

Entries marked as spam are not included in the standard Gravity Forms export.
